The American Veterinary Medical Association (AVMA) Trust is seeking an Executive Assistant/Project Coordinator to join our team headquartered in Schaumburg, IL, a northwest suburb of Chicago. The AVMA Trust provides professional liability insurance, life and disability coverage, financial services, an Association Health Plan, as well as other important benefits to the 94,000+ members of the AVMA. The Executive Assistant / Project Coordinator is responsible for the driving the administrative activities for the Schaumburg location of the AVMA TRUST. The role also serves as the office manager, receptionist. The goal of the Executive Assistant role is to support the CEO with administrative functions, including but not limited to vendor oversight, bill payments and calendar management. This position is also responsible for helping support budgeting reports and other tracking functions.
The Executive Assistant is the main resource for the front office and works to ensure that all administrative oversight runs smoothly.
Provide executive administrative support in the following areas but not limited to:
Serves as administrative support to CEO
Serve as Office Manager, Receptionist and primary liaison with AVMA Trust
Coordinates meetings, conference rooms, room accommodations, catering needs, etc.
Assists with annual budget preparation and special projects; develops excel reports for executive review
Interfaces with outside accounting firm, banks and corporate credit card vendors
Interfaces with multiple Board Trustees and Business Partners and consistently exudes a pleasant and professional image
Administers payroll process and updates via Payroll Vendor
Time off requests and accrual management
Maintains office equipment and serve as IT liaison
Reviews and submits vendor invoices on a monthly basis
Supports and promotes AVMA Trust policies, procedures and processes
